How do you follow up on a rental inquiry that went quiet?

Send one helpful follow-up within 24 hours, about the exact dates and property the guest asked for. If the dates are still open, a short second nudge a few days later is fine. Then stop.

Inquiries go quiet for ordinary reasons: the guest is comparing options, waiting on travel companions or simply got distracted. A timely, specific follow-up wins some of them back. A generic sales sequence does not.

When to follow up

Speed matters. Most guests book within days of their first inquiry.

Within 24 hours

Follow up while the guest is still deciding and your property is fresh in their mind.

A few days later, if the dates are open

One last short note. Mention that the dates are still available.

Then stop

More messages after that read as pressure and rarely change the outcome.

What to say

Make the follow-up about their trip, not your marketing. Include:

  • Their dates and the property they asked about.

  • An answer to any question they raised.

  • Whether the dates are still available.

  • A direct way to book or hold the dates.

  • An easy way to say no, which often gets a reply either way.

What not to do

A quiet inquiry is a warm lead, not a subscriber.

Don’t add them to your newsletter

They asked about a trip, not a mailing list, and they never stayed with you.

Don’t lead with a discount

Address the reason they hesitated first. Discount only if price is the issue.

Don’t chase them on another channel

If they booked elsewhere or asked you to stop, leave it.

How to set this up

1. Capture the inquiry

Record the dates, property and contact details.

2. Check availability

Only follow up while the dates are open.

3. Follow up within a day

One specific, helpful message.

4. Stop on a reply

Or after the second message, whichever comes first.

Frequently asked questions

How long should I wait before following up?

About 24 hours. Some hosts follow up the same day if the inquiry came in the morning.

Should I offer a discount?

Not by default. Answer their question and confirm availability first. Offer a discount only if price is clearly the obstacle.

What if they reply?

Then it is a conversation. Reply personally and stop any automated follow-ups.

Can I follow up on an Airbnb inquiry by email?

No. Reply inside Airbnb messaging. Airbnb does not allow hosts to move guests off the platform before booking.

Is an inquiry the same as a past guest?

No. A past guest completed a stay. Someone who only inquired should not get past-guest offers.
