What is a guest profile?

A guest profile is a single record of everything known about one guest: contact details, consent, stays across properties and booking channels, preferences and conversations. It is what lets you send the right message to the right guest.

In vacation rentals, guest data is scattered across the PMS, OTA bookings, website forms and inboxes. A guest profile pulls those sources together, so the same person is not three separate contacts.

What a guest profile includes

A complete guest profile usually holds:

  • Identity: name, email, phone and preferred language.

  • Consent: which channels the guest agreed to, and any opt-outs.

  • Stay history: every completed stay, with property, dates, value and booking channel.

  • Preferences and notes: pets, party size, accessibility needs and past issues.

  • Conversations: messages across email, SMS, WhatsApp and the OTA.

Guest profile vs. PMS guest record

A PMS stores guests to run reservations, often one record per booking. A guest profile merges those records, plus data from outside the PMS, into one person, which makes segmentation and repeat-booking marketing possible.
